    Job purpose
    The Director of Membership is responsible for Menomonee Falls Chamber membership relations and retention, daily Chamber operations and business functions, including basic bookkeeping, and support of sales and account management.
     
    Duties and responsibilities
    • Become proficient with all modules of ChamberMaster, especially the members, reports and billling modules. (ChamberMaster is the Chamber's member management software.)
    • Achieve quarterly retention goals.
    • Bookkeeping
    • Follow-up on outstanding membership dues and accounts receivable.
    • Accounts payable
    • Work directly with the Ambassador Committee for retention, ribbon cuttings and new member welcomes.
    • Attend all ribbon cuttings and new member welcomes.
    • Prepare and submit monthly new member page to be published in the Express News.
    • Manage the 90-day onboarding of all new members with the assistance of the Ambassadors.
    • Provide correspondence, new member packets and member plaques in a timely fashion.
    • Coordinate, promote and run the monthly Business After 5s (Second Thursday of each month 5PM to 7 PM) and ABLE meetings (First Wednesday of each month 7:30 AM to 9 AM).
    • Provide Chamber website member portal page training to new and existing members.
    • Carry out administrative duties such as:
      • Maintaining the manual filing system
      • Writing letters, thank you notes, and emails on behalf of other office staff
      • Organizing and scheduling meetings for the office staff and SCORE Business Counseling
      • Answering the telephone
      • Replying to email, telephone or face to face enquires in a professional and timely manner
      • Receiving, sorting, and distributing the mail
      • Assisting in the preparation of reports for the other office staff
      • Processing credit card purchases
    • Prepare weekly Constant Contact email communication to be sent to the Membership   each Monday morning.
    • Daily social media posts.
    • Manage all housekeeping responsibilities including scheduling of cleaning services, taking out the trash and vacuuming when needed, maintaining the guest coffee and water supplies.
    • Maintain and update annual community events for the MDK Publishing and Village Events Guide/Map.
    • Ensure operation of office equipment (Examples: copier, printer, phones, computers) by completing preventative maintenance requirements and calling for repairs if required.
    • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
    • Handle sensitive information in a professional, discreet and confidential manner.
    Qualifications
    • Bachelor’s Degree or Associate Degree or 2 years of equivalent management and sales experience.
    • Excellent verbal and written communication skills
    • Strong Phone Presence
    • Experience in communicating with small, medium and large organizations
    • Excellent knowledge of MS Office
    • Experience with QuickBooks
    • High ethical standards
    • Ability to prioritize, meet deadlines and manage time effectively.
    • Committed team player
    • Ability to work in a fast-paced, lively office environment 
    • Possess a valid driver’s license and provide own reliable transportation
     Working conditions 
    • Monday & Friday 8:30 AM to 4:30 PM, Tuesday, Wednesday, Thursday: 7:30 AM to 3:30 PM
    • Note: Some Chamber special events and programs occur outside of normal business hours. Therefore, additional work hours will be required at these times.
    • Required attendance:
      • Ambassador Committee monthly meetings
      • ABLE networking once a month 7:00 AM to 9:00 AM
      • Business After 5 networking once a month 4:30 PM to 7:00 PM
      • Awards Banquet in January: 4:00 PM to 9:00 PM
      • Leadership Lunch in March: 11:00 AM to 1:00 PM
      • LMF Commencement in May: 4:30 PM to 7:00 PM
      • Spring Shoot in May: 9:30 AM to 4:30 PM
      • Party in the Park a la Carte in June: 4:00 PM to 8:00 PM
      • Golf Outing in August: 8:00 AM to 6:30 Pm
      • Attend other required FSYL, LMF, and Chamber events as needed.
      • Ribbon cuttings and ground breakings
    Physical requirements
    • The individual must be able to spend most of his/her day walking, sitting, standing and or driving.
    • The individual may travel to off-site locations that may not be barrier-free.
    • The individual must be able to type on a computer keyboard and operate other office equipment.
    • Must be able to lift 35 pounds
